Several new feature enhancements are included in the product update released in late April 2022. The major enhancements in this release include new Student Evaluation Search page and auto-refresh function added to areas of axiUm Ascend that handles evaluations.
Important: Enhancements from this release will be available on PROD on May 6th, 2022.
New Student Evaluation Search page
When faculty searches for an evaluation on the Faculty Evaluations page (Academic > Faculty Evaluations), they need to know the evaluation's competition date because the page requires it. This isn't ideal as some may not remember the completion date, especially if they want to view a very old evaluation.
Hence, we added a (new) Student Evaluation Search page that doesn't require faculty to enter an evaluation's completion date to search for an evaluation. The page also gives faculty members complete access to all student evaluations within the system. This allows faculty to look up any student evaluations, including those not assigned to them, to address any questions and concerns students might have with their evaluations.
You can navigate to the new page by selecting the (new) Evaluation Search option on the Academic menu.

Note: The option only displays if you have the security rights to view the Faculty Evaluations page. If you don't, the Evaluation Search option doesn't display.
The Student Evaluation Search page comes with a student list that behaves like the student list on the Faculty Evaluations page.

You can select any student on the list to view a list of evaluations associated with the student. If necessary, you can use the search field above the list to locate a specific student.

The page comes with 2 tabs:
-
Pending - Displays a list of new and in-progress evaluations.
-
Completed - Displays a list of evaluations that have been completed by all evaluators, including the student's self-evaluation. The tab also includes canceled evaluations.
Note: An evaluation is considered complete based on the evaluation form's required number of evaluators and the status of the self-evaluation setting.
Example: An evaluation request is created using an evaluation form that only requires 1 evaluator, and the self-evaluation setting is turned off. The evaluation request is assigned to 2 faculty and 1 student. If a faculty completes their copy of the evaluation, the evaluation is considered complete because the form only requires 1 evaluator. If the self-evaluation setting is turned on, a faculty and the student must complete their evaluation for the request to be considered complete.
Each tab displays a list of evaluations like the Faculty Evaluations page.

The list displays the following information:
-
- Displays a
icon for competency evaluation requests. -
Date/Time - Displays the date and time the evaluation request was created. If the evaluation request was created by approving a procedure, the column displays the date and time the procedure was approved.
-
Form Name (Evaluation ID) - Displays the name of the evaluation form that was used to create the evaluation request. Also, the ID number of the evaluation displays in brackets. If there's none, the column displays a blank.
-
Chair - Displays the operatory that's associated with the evaluation request.
-
Status - Displays the status of the evaluation request. If no one started on the evaluation, it displays as New. If someone started answering the evaluation but didn't finish it, it displays as InProgress. If everyone that started on the evaluation completed it, it displays as Complete. If the evaluation was canceled, it displays as Canceled.
-
Evaluator - Displays the short name of the faculty provider(s) that are assigned to the evaluation. If they completed their copy of the evaluation request, a
icon displays beside their name.Important: If the assigned faculty isn't a provider, the system displays a masked name, such as Faculty 1 and Faculty 2, instead of the short name.
-
- Displays an icon for evaluation forms that require a self-evaluation, which is the assigned student's copy of the evaluation. If the evaluation form doesn't require a self-evaluation, the column displays a blank. For evaluation forms that require a self-evaluation, the column displays different icons based on the status of the self-evaluation. If the student didn't start on their self-evaluation, the column displays a blank. If a student started on their self-evaluation but didn't complete it, it displays a
icon. If they completed it, it displays a
icon. -
Faculty Evaluation - Gives you the option to address your copy of the evaluation request. If the Start button displays, it means that you didn't start the evaluation request. You can clicktap the Start button to start the evaluation. If it displays the Resume button, it means you started the evaluation, but didn't complete it. You can clicktap the Resume button to complete it. If it displays the View button, it means you completed the evaluation. You can clicktap the View button to view your submitted evaluation. If necessary, you can clicktap the
button to delete, restart, or to assign a faculty to the evaluation.
If desired, you can refine the list to a specific evaluation form name by using the Search by form name search field. The field is located above the list on the right side.

Note: If you're on the page when there's a change that effects the page, such as creation of a new evaluation request or cancelation/completion of an evaluation request, that evaluation will display at the bottom of the list until you refresh the page.
Tip: If you want information on procedure(s) associated with an evaluation, you can select the evaluation to expand it. It displays the information on the procedure(s), th, surface, code, and description.

Auto-refresh function added to areas of axiUm Ascend that handles evaluations
To make sure users receives real-time updates on evaluations, the following areas of axiUm Ascend now auto-refreshes when there's a new or change in evaluation data:
-
The Evaluation widget on the Provider Overview page (Home > Location > Overview)
-
The Student Evaluations page (Academic > Student Evaluations)
-
The Faculty Evaluations page (Academic > Faculty Evaluations)
This allows the faculty to remain on any of the pages without refreshing it to make sure all pending evaluations are dealt with in a timely manner.
Note: Auto-refresh isn't added to the Student Evaluation Search page because the page supports browserpush.
