Distributing clinical note templates

If your organization has multiple locations, you can distribute clinical note templates from one location to other locations.

For example, you can make a change to a template or any of its quick-picks in a location and then apply the changes to all templates with the same name in other location. You can also create a template, insert or create quick-picks for the template, and copy the template to multiple locations.

To distribute clinical note templates

1. On a location's Clinical Note Template Setup page, select the check boxes of the clinical note templates you want to distribute to other locations.

   

2. ClickTap Distribute.

   Note: This button is only available if at least one check box is selected.

   The Distribute Selected Templates window displays.

   

3. Set up the following options:

   • Destination location(s) - Select the check boxes of the locations you want to distribute the template(s) selected in Step 1. If necessary, deselect the check boxes of any locations you do not want to distribute the selected template(s).

     Tip: To select or deselect all location check boxes, clicktap the All locations check box.

   • Clear all existing templates & replace with those that are checked - Select the check box to complete the following at the destination locations:

     • Delete all templates that does not have the same name as the distributed template(s).

     • Replace all templates that has the same name as the distributed template(s) with the distributed template(s). If there are none, add the distributed template(s).

     Deselect the check box to only distribute the selected template(s) to the selected destination location(s).

4. ClickTap Distribute.

   Note: This button is only available if at least one check box is selected.

   If there are any conflicts, warning symbols display on tabs that have the conflicts.

   

5. If applicable, resolve any conflicts.

   • Select Locations tab.

     Note: Location conflicts occur when you attempt to delete or replace templates that are linked to a clinical note. Specifically, it occurs if the Clear all existing templates & replace with those that are checked check box is selected in Step 3 and the distributed template(s) have been used to create a clinical note in any of the destination locations.

     Tip: Position your pointer overTap the warning symbol to view a list of template(s) that are linked to clinical notes in that location.

     1. Complete one of the following:

        • To not distribute linked templates to locations with conflicts, deselect the locations' check boxes.

          Note: This option only applies if there is at least one location that does not have a conflict.

        • To not distribute linked templates, cancel the distribution, deselect the check boxes of the templates on the Clinical Note Template Setup page, and then repeat steps 2-6.

        • To ignore the location conflict(s), leave the check boxes of the locations with conflicts selected.

          The linked templates will be left as-is.

   • Template Conflicts tab.

     1. ClickTap the button navigate to the Template Conflicts tab from the Select Locations tab.

     2. Select the Template Conflicts tab and select one of the following radio buttons to resolve the conflicts:

        • Skip templates with the same name - If selected, the distribution does not apply to locations that have templates with the same name as the distributed template(s).

          Note: If the Quick-Pick Conflicts tab displayed before you selected this radio button, the tab no longer displays after the selection.

        • Keep both templates - If selected, destination locations that have template(s) with the same name as the distributed template(s) receive the distributed template(s) with a digit at the end of the name. The original template(s) remain at the location as-is.

          Example: A "High Pulp Test Reading" template is distributed to a location that already has a template with the same name. The distributed template is added to the location as "High Pulp Test Reading (1)" and the other template remains at the location as-is.

        • Replace templates with the same name - If selected, template(s) with the same name as the distributed template(s) are replaced by the distributed template(s).

          Note: If there are any location conflicts, the distribution does not apply to locations that have templates with the same name as the distributed template(s) and are linked to clinical notes.

        • Clear all existing templates & replace with those that are checked - If selected, the following occurs:

          • All templates that does not have the same name as the distributed template(s) are deleted.

          • All templates that has the same name as the distributed template(s) are replaced with the distributed template(s). If there are none, the distributed template(s) are added instead.

          Note: If there are any location conflicts, the distribution does not apply to locations that has templates with the same name as the distributed template(s) and are linked to clinical notes.

   • Quick-Pick Conflicts tab.

     1. ClickTap the button navigate to the Quick-Pick Conflicts tab.

     2. Select the Quick-Pick Conflicts tab and select one of the following radio buttons to resolve the conflicts:

        • Skip quick-picks with the same name - If selected, the distribution does not include quick-picks to locations that has quick-picks with the same name as the quick-picks from the distributed templates.

        • Keep both quick-picks - If selected, destination locations that have quick-picks with the same name as the quick-picks from the distributed template(s) receive the distributed quick-picks with a digit at the end of the name. The original quick-pick remains at the location as-is.

          Example: A "Anesthetic, Local" quick-pick is distributed to a location that already has a quick-pick with the same name. The distributed quick-pick is added to the location as "Anesthetic, Local (1)" and the other quick-pick remains at the location as-is.

        • Replace quick-picks with the same name - If selected, quick-picks with the same name as the quick-picks from the distributed template(s) are replaced by the distributed quick-picks.
